Trade Call Reception · Practical call handling

A call-forwarding checklist before a pilot

A business has both a mobile and an office number. Different forwarding rules could create loops or unexpected charges.

Work through the call, not just the technology.

Use the situation above as a rehearsal with invented details. Ask the person who will return the call whether the information would let them take the next useful step. If an answer depends on availability, technical judgement or a promise to the customer, leave that decision with your team.

Your practical checklist

  1. List every number in the route.
  2. Record the forwarding destination and trigger.
  3. Check the return path does not point back.
  4. Test busy, no-answer and unavailable states.

The useful output

One clear routing diagram with an owner, provider contact and rollback instruction.

What to check before activation

The initial managed pilot covers one business, one agreed call-handling route and one destination for enquiry summaries. Phone compatibility, message delivery, fallback and live data handling must be agreed and tested. Prices, attendance and appointments stay with your team; booking, transfers and bespoke integrations need a separate scope.

Review the result after 30 live days. A captured message is not evidence of a won job. Record confirmed outcomes separately and decide whether to continue under a separate agreement.
