Trade Call Reception · Practical call handling
Who should own the callback?
A detailed summary lands in a shared inbox, but everyone assumes someone else will respond.
Work through the call, not just the technology.
Use the situation above as a rehearsal with invented details. Ask the person who will return the call whether the information would let them take the next useful step. If an answer depends on availability, technical judgement or a promise to the customer, leave that decision with your team.
Your practical checklist
- Choose one first-response owner.
- Agree cover when that person is unavailable.
- Record the action taken.
- Close the loop when the customer cannot be reached.
The useful output
A named callback responsibility and an agreed way to record its outcome.
What to check before activation
The initial managed pilot covers one business, one agreed call-handling route and one destination for enquiry summaries. Phone compatibility, message delivery, fallback and live data handling must be agreed and tested. Prices, attendance and appointments stay with your team; booking, transfers and bespoke integrations need a separate scope.
Review the result after 30 live days. A captured message is not evidence of a won job. Record confirmed outcomes separately and decide whether to continue under a separate agreement.
