Trade Call Reception · Practical call handling
Sorting job types without making technical decisions
A firm offers repairs and servicing but does not undertake every installation. Job type helps the team route the callback.
Work through the call, not just the technology.
Use the situation above as a rehearsal with invented details. Ask the person who will return the call whether the information would let them take the next useful step. If an answer depends on availability, technical judgement or a promise to the customer, leave that decision with your team.
Your practical checklist
- Use the owner’s actual service list.
- Keep an “unsure” option.
- Record the caller’s wording alongside the category.
- Send unusual requests for human review.
The useful output
A small intake category list that matches the work the business accepts.
What to check before activation
The initial managed pilot covers one business, one agreed call-handling route and one destination for enquiry summaries. Phone compatibility, message delivery, fallback and live data handling must be agreed and tested. Prices, attendance and appointments stay with your team; booking, transfers and bespoke integrations need a separate scope.
Review the result after 30 live days. A captured message is not evidence of a won job. Record confirmed outcomes separately and decide whether to continue under a separate agreement.
